The best print management software for coworking spaces, compared
Five products people weigh up when they share printers with members, clients or guests: what each one asks people to install, how documents are released and charged, and how each is priced. Including what the others do better than we do.
Checked on each vendor’s own website in November 2026.
The short answer
Which one fits your space?
For a coworking space or serviced office where people print from their own devices and pay per page, pick something they don’t have to install, that holds documents until they’re at the printer, and that bills through your membership platform. That’s what we built Commontray for. The others shine elsewhere:
-
Commontray vs PaperCut
PaperCut is best for companies with managed laptops and multifunction printers that want card login and copy and scan tracking, installed by a partner.
-
Commontray vs Printix
Printix is best for companies retiring their print servers across managed Windows and Mac laptops, priced per user.
-
Commontray vs ezeep Blue
ezeep Blue is best for coworking spaces that want printing from every app’s print dialog, wide driver coverage and many platform integrations.
-
Commontray vs Princh
Princh is best for libraries and public spaces where walk-in visitors pay by card before they print.

What to look for
Six questions to ask any print management software
Shared spaces have problems a single company doesn’t: people who aren’t your employees, devices you don’t manage, and printing you may need to charge for.
What do people install?
Every app or driver on a member’s laptop is a support ticket waiting to happen. A web page is the least you can ask of them. See mobile printing.
Does the price grow with every member?
Per-user pricing goes up with every new member and guest. Per location or per printer doesn’t.
How is a print released?
Card readers cost money for every printer. A QR code or an app does the same job with the phone people already carry. See print release.
Is billing fair to the page?
Is color charged only where there’s color? Are failed and half-printed jobs charged? See fair charging.
Does it talk to your platform?
Charges should land on the member’s invoice without anyone retyping them. See integrations.
What runs on your network?
A print server and drivers are one more thing to patch. Ask what stays on site and who keeps it updated. See security.
A free option worth knowing
What about PaperCut Mobility Print?
PaperCut Mobility Print is free, and it’s a good way to let phones, tablets and Chromebooks print to queues you already have. It runs on a computer that stays switched on and sits in front of your existing print queues and drivers, converting jobs for each printer.
On its own it gets documents to the printer; holding them for release and charging for them come from PaperCut NG or MF. If you need those as well, compare it with Commontray on our PaperCut alternative page.
Questions
Choosing print management software
What is the best print management software for a coworking space?
It depends on who prints and how you bill. If members bring their own devices and pay per page on their membership, look for something they don’t have to install, that holds documents until they’re at the printer, and that connects to your membership platform. Commontray is built for exactly that. If you need copying and scanning tracked at multifunction printers, PaperCut is stronger; if walk-in visitors pay by card, Princh is.
Is there free print management software?
Several products have a free option. PaperCut Mobility Print is free for printing from people’s own devices. ezeep Blue is free for up to 10 users. Commontray is free for one printer, with any number of people. See Commontray pricing.
Do I still need a print server?
Not with any of the cloud options here, though most need something running at your site: Commontray runs on a computer you already have or the Commontray Box, ezeep uses a connector PC or its Hub, Princh a connector computer, and PaperCut Hive uses people’s own computers. Our guide on replacing a print server goes through the options.
Should we pay per user or per location?
Per-user pricing is predictable for a company with a stable headcount. For a coworking space, where members come and go every month and guests print too, a price per location or per printer is easier to budget. Commontray is priced per location.
Can we try before we buy?
Yes, everywhere here. Commontray is free for one printer. Printix’s Starter plan starts with a free month, ezeep has a 14-day trial, Princh a 30-day trial, and PaperCut Hive trials are set up by a PaperCut partner.
Your printers, minus the hassle.
Set up Commontray on a computer you already have or plug in the Commontray Box. Most spaces print their first page in under half an hour.
